Videography invoice template

Video jobs mix day rates, hourly editing and rights, and clients query the bill when those blur together. This template splits production, post-production and licensing, and records the project, shoot dates and location, deliverables, the revision rounds included, what happens to raw footage and the usage license.

Pricing a shoot and an edit

Crew and equipment are usually charged per shoot day, often with a half-day rate, while editing, grading and sound are charged by the hour or as a package. Give each crew member and each kit hire its own line so the client can see where the day rate goes. Revision rounds are where budgets slip: state how many are included and bill extra rounds at your editing rate. Travel, drives and licensed music read more clearly on separate lines too.

Who owns the footage

Under US copyright law a freelance videographer normally owns the footage they shoot. For a freelance job to be a work made for hire, both parties must sign a written agreement saying so, and a transfer of copyright ownership needs a writing signed by the owner. An invoice alone does neither, so use the usage license field to describe what the client may do, such as web and social use worldwide for two years, and keep ownership terms in your contract.

Questions

Should I charge for raw footage?

Many videographers keep raw footage by default or charge extra to hand it over. Say which applies in the raw footage field so there is no disagreement after delivery.

How do I take a booking deposit?

Issue a deposit invoice to hold the date, then enter the amount received under amount paid on the final invoice, which leaves only the remaining balance due.

Is video production taxable?

That varies by state or country and by whether you deliver a finished product or a service. Set the rate for your location, and clear the Taxable box for any charge that is exempt where you work.
