Session fees, usage and buyouts

Commercial and voice-over work often splits the money in two: a fee for the time on set or in the booth, and a usage fee for where the recording may appear, in which territory and for how long. Write the media, territory and term in the usage field, for example online and social in the United States for 12 months, so a renewal or an extension later is easy to price and to invoice.

Agents, unions and payroll

When an agent booked the job, agree first whether you bill the client directly or the agency collects the fee and pays you after its commission, and follow its instructions for the invoice. Some productions, particularly on union contracts, pay performers through a payroll company instead of an invoice, so confirm how you will be paid before sending one.

Questions

Should I charge for fittings and rehearsals?

If your booking includes them, list each fitting, rehearsal or callback on its own line with the date and the agreed rate, so the producer can match it to the call sheet.

How do I bill travel and per diems?

Put them under Expenses, keep receipts for travel, and untick Taxable where a line is a straight reimbursement. A per diem agreed in the booking goes on its own line for each day.

What if the client extends the usage?

Send a new invoice for the extension with the new term written in the usage field. The Repeat invoice button copies the production details, so only the usage line and the term need changing.
