Making a quote easy to accept
List each item with its quantity and unit price, show tax separately, and say in the notes how to accept, for example by replying or signing. A clear acceptance step turns quotes into orders faster.
Keeping quotes and invoices apart
Quotes get their own number series, such as QT-0001, so they never collide with invoice numbers. When the customer accepts, switch the document type to invoice and give it the next invoice number.
Questions
Is a quote legally binding?
An accepted quote can form a contract, depending on the law where you trade and the wording. State the validity period and any conditions so both sides know what was agreed.
Should a quote include tax?
Show prices before tax with the tax on its own line for business customers, or switch to prices including tax for consumers where that is the norm. Either way the total shows what they will pay.
