Performance fees and extras

Bill the performance as agreed, then add learning a requested song, extra sets, overtime or equipment hire as separate lines. The client sees each addition instead of a single number that is higher than they remember. In the US, venues and planners often need a W-9 from you before they can pay, so send it with the invoice.

Deposits for booked dates

Many performers take a deposit to hold the date. Issue a deposit invoice at booking, then record it as paid on the final invoice so only the balance is due on the event date.

Questions

How do I charge travel?

Add a travel line by the mile or kilometre with your rate, or a flat travel fee. State in the terms where travel charges begin, for example beyond 30 miles.

Should a band invoice as one business?

If the client pays one party, invoice from that person or business and pay the other members yourself. Put the band name in the business name field.

Can I add an overtime rate?

Yes. Put your overtime rate per half hour in the terms, and add an overtime line after the event with the time actually played.
