Thank-you email after an interview

A thank-you email after an interview takes five minutes and does two jobs: it shows good manners, and it puts one strong point from the conversation back in front of the people deciding. Send it within a day. This page opens the letter tab on a thank-you template that fills in the job, the company and the interview date, ready to copy into your email or download.

No sign-up to write and check, and downloads are free with a free account. Your documents stay in this browser; text goes online only when you press an AI button.

Free trial: 1 run of Cover Letter Generator every day. After that, 2 credits per run. Only the AI actions count as runs; building, checking and downloading are free.

A good thank-you email has

  • A clear subject line with the job title and your name
  • Thanks for their time, with the date of the interview
  • One specific point from the conversation
  • A sentence on why that point suits your experience
  • An offer to send anything else they need
  • Under 150 words, sent within 24 hours

The example letter

Thank you for taking the time to meet me on [date] to discuss the Marketing Assistant position at [company]. I enjoyed learning more about the team, the work ahead and the priorities for the first months in the role.

Our conversation confirmed my interest in the position. I was particularly encouraged by what you said about [one point from the interview that stood out to you], and I am confident that my experience would help me contribute quickly.

If there is anything else you need from me, such as references or examples of my work, I would be glad to send it. Thank you again for your time; I look forward to hearing from you.

When to send it

Send it the same day or the next morning, while the conversation is fresh for both of you. If the interview was on a Friday afternoon, Monday morning is fine. For a panel interview, write a short note to each person whose address you have, changing at least one line in each so they are not identical.

Subject lines that get opened

Keep it plain and easy to search for: 'Thank you: Marketing Assistant interview, Priya Shah' or 'Following our conversation on Tuesday'. Avoid jokes and exclamation marks. If the recruiter set up the interview by email, replying in the same thread keeps everything together.

What it can and cannot do

A thank-you note will not rescue an interview that went badly, and leaving one out rarely costs an offer on its own. It helps most when the decision is close, when you can clear up an answer you fumbled, or when you add something useful, such as a link to a piece of work you mentioned.

Questions

Should I send a thank-you email or a handwritten note?

Email, in almost every case, because it arrives before the decision is made. A handwritten card can follow for a small business or a role where the personal touch suits the culture, but not as the only thank-you.

Who should I send it to?

Everyone who interviewed you, if you have their addresses; otherwise the recruiter or coordinator, asking them to pass on your thanks. Use names as the interviewers introduced themselves.

Is it too late to send a thank-you email after two days?

No. A note two or three days later is still polite and still read. Simply thank them for meeting you on the date, and leave out any apology for the delay.

Can the AI write the thank-you email for me?

Yes. Press Draft the letter with AI and it writes a note from your resume, the job and the points you type, which counts as one AI action. Check every detail before sending, because only you know what was said in the room.
