PDF to QBO for QuickBooks

QuickBooks imports bank transactions from Web Connect files, which end in .qbo. When your bank only gives you a PDF, this converter reads it, checks the figures against the running balance, and writes a QBO file that QuickBooks can match against your bank or card account.

In the QBO file

  • Every transaction with its date, signed amount, payee name and memo
  • A transaction ID that stays the same each time the statement is converted
  • The statement period and the closing balance
  • The bank format for bank accounts, the card format for credit cards
  • An Intuit bank ID you can change if QuickBooks asks for another

Importing into QuickBooks Desktop

Choose File, Utilities, Import, Web Connect Files, and select the .qbo file. QuickBooks asks which account to use: pick the existing bank or card account, and the transactions appear in the Bank Feeds centre ready to match or add.

Importing into QuickBooks Online

Open Transactions, then Bank transactions, and choose to upload from a file. Select the .qbo file, pick the account to put it in, and review the rows under For review before adding them.

Questions

What is the Intuit bank ID for?

QuickBooks Desktop reads a bank ID from the file and checks it against the banks it works with. The default, 3000, is the one most converters use. If QuickBooks says the bank is not supported, try another ID from Intuit’s list.

Will importing the same statement twice duplicate transactions?

Each transaction gets an ID worked out from the account, date, amount and description, so converting the same statement again gives the same IDs. QuickBooks uses these to recognise transactions it has already downloaded.

Can I convert a credit card statement to QBO?

Yes. Card statements are detected, or you can choose Credit card in the reading settings. The file then uses the credit card format, with purchases as charges and payments as credits to the card.

Should I use QBO or CSV for QuickBooks Online?

Either can be uploaded, but a QBO file needs no column mapping and carries transaction IDs that help QuickBooks spot duplicates. CSV is handy if you want to edit the rows in a spreadsheet first.
