Bank statement to CSV

CSV is the format almost every accounting program, budgeting app and spreadsheet can read. Pick the column layout the program expects, and the converter writes the statement in that shape after checking every row against the running balance.

Three column layouts

  • Debit and credit: date, value date, description, reference, debit, credit, balance
  • Signed amount: date, description, and one amount with money out as a minus
  • Xero: date, amount, payee, description, reference
  • UTF-8 with a byte-order mark, so Excel shows accents and symbols correctly
  • Plain numbers with a full stop for decimals and no thousands separators
  • Descriptions starting with =, +, - or @ are made safe from formulas

Importing into Xero

Choose the Xero layout and download. In Xero, open the bank account, choose Manage account and then Import a statement, and pick the file. Xero reads the date and signed amount, and uses the payee and reference to help match rows with invoices and bills.

Which date format to pick

Programs read dates in the order they expect, and 03/04 means March in one and April in another. Pick the order your program uses before downloading; YYYY-MM-DD is the safest when you are not sure, because no program reads it the wrong way round.

Which layout should I choose?

Use debit and credit columns for spreadsheets and for software that asks for them separately. Use one signed amount for most budgeting apps. Use the Xero layout for Xero, or for any program that asks for date, amount, payee and reference.

Why do descriptions sometimes start with an apostrophe?

A cell that begins with =, +, - or @ is run as a formula when the file is opened in a spreadsheet. The apostrophe keeps such a description as plain text. Amounts are never changed this way.

Can I convert several statements into one CSV?

Yes. Add up to 12 statements and one CSV is made with every row, oldest first. A row printed in two overlapping statements appears once, so the file does not double count.

Does the CSV include the running balance?

The debit and credit layout includes the balance column as printed on the statement. The signed and Xero layouts leave it out, because the programs that use them work the balance out themselves.
