What goes in the sheet
- Employee ID and name (required)
- Designation, department, joining date and location
- PAN, UAN, PF and ESI numbers, bank and account
- Loss-of-pay days, half days allowed
- Full-month earnings: basic, DA, HRA, allowances, bonus, overtime, arrears
- TDS, labour welfare fund, loans and advances
- Per-employee PF, ESI and PT settings, if they differ from the page
- Any extra "earning:" or "deduction:" columns you need
Checked before anything is made
Every row is checked as soon as the sheet is read: missing names or IDs, amounts that are not numbers, negative figures, loss-of-pay days longer than the month and repeated employee IDs are listed by row, and those rows are left out of the downloads.
Salaries stay on your computer
The sheet is read by your browser and the PDFs and ZIP are built there too. Nothing is uploaded, so salary figures never pass through a server.
Questions
How many employees can I do at once?
Up to 1,000 rows per file. For a larger payroll, split the sheet by department or location and run each file in turn.
What if my column names are different?
Common spellings are matched, so "Emp Code", "Employee ID" and "employee_id" all work, as do "Basic Salary" and "Loss of pay". Anything else can be renamed to match the template.
How are the files named?
By employee ID, name and month, for example E001_Asha_Verma_Sep-2026.pdf, so they sort by ID and are easy to email one by one.
Does it handle the September 2026 PF ceiling change?
Yes. For September 2026 PF is worked out on Rs. 15,000 for the 1st to 16th and Rs. 25,000 from the 17th, as in EPFO’s illustration; later months use Rs. 25,000.
